Claude as Your Real Estate Assistant: The Build Guide

This is how I built Claude into an assistant that triages my emails, runs my comps, pulls my call follow-ups, and schedules my calls. Each one starts as a prompt you can run today and grows into a real connected skill. None of this replaces you. It clears the busywork so you spend your time with clients.

In the video I showed four real skills I run my business on: a slash command that triages my inbox, one that pulls comps into a branded PDF, one that turns a call into follow-ups, and one that schedules a Zoom with my link already in it. This guide shows you how each one is built.

Every skill grows in two stages. Stage one is a prompt you can run on claude.ai today with zero setup. It gives you a real win this week. Stage two is the connected version from the video, where Claude reaches into your actual inbox, calendar, and data. I will show you both, and I will be honest about where stage two gets technical.

First, what a Claude skill actually is

A skill is a saved job description Claude follows every time, instead of you re-explaining the task. At the simplest level it is a Project plus a good prompt, which is what you will build below. The advanced version is an installed skill in the Claude desktop app that you trigger with a slash command and that connects to your tools. Same idea, more reach. You start with the prompt and graduate the ones you use most.

Step 1: Build your Claude Project (the foundation)

Every skill below sits on top of this. In Claude, create a new Project and paste this into the custom instructions. Fill in the brackets. Now every chat inside that Project already knows your market, your voice, and how you work.

Project Instructions
You are my real estate executive assistant. Here is what you need to know about me and my business: - My name: [Your name] - My brokerage: [Brokerage] - My market: [City / counties you serve] - My clients: [Who you mostly work with: buyers, sellers, first-timers, luxury, etc.] - My voice: casual, direct, warm, no hype, no fluff. Short paragraphs. I sign off "Warm regards, [Name]." - My priorities: [e.g. responsiveness, clear next steps, no detail dropped] How I want you to work: - When I give you a task, do it the way I would, not in a generic AI voice. - Always end emails at the sign-off. Do not invent details, prices, dates, or facts I did not give you. - If you are missing something you need, ask me one clear question instead of guessing. - Keep everything in plain English a client would actually read. From now on, when I paste an email, a call summary, or an address, treat it as a task for my business and respond as my assistant.

Skill 1: Email triage

In the video: my email-triage skill scans the whole inbox every morning and writes a draft reply to each message, waiting in my drafts folder before I sit down.

Build it today (prompt): paste one client email, and Claude writes the reply in your voice. Run it whenever a message lands.

Make it a real skill: connect Claude to your inbox so it reads new client emails on its own and drafts every reply, no pasting. That connection is the technical part, and it is the leap from doing one email to clearing the whole inbox before breakfast.

Email Draft Prompt
Draft a reply to this client in my voice. Keep it short, warm, and direct, with clear next steps if there are any. Do not add details I did not give you. End at "Warm regards, [Name]" with no signature block after it. Here is the message I am replying to: [paste the client's email or describe the situation] Anything you need from me to finish it: ask before you guess.

Skill 2: Running comps

In the video: I drop in an address and the skill pulls comps from Zillow, Redfin, and the MLS, ranks them, adjusts for differences, and builds a branded PDF with a map, a comp table, and a seller net sheet.

Build it today (prompt): the prompt below will not pull live data, but it tells you exactly what to pull and how to adjust it, so you walk into the pricing conversation prepared.

Make it a real skill: give Claude a way to pull listing data and a template to format it, so one address returns the full PDF. This is the most technical of the four. Live MLS data needs your own MLS access. Public sources like Zillow and Redfin can be connected without it.

Comps Prep Prompt
I am preparing a pricing conversation for a property at [address]. Help me get ready. 1. List the exact comps I should pull (recently sold, active, and pending) and the radius and time window that makes sense for this area. 2. Tell me which features to adjust for (square footage, lot, beds/baths, condition, upgrades, location) and how to think about each adjustment. 3. Give me a clean framework to land on a price range once I have the numbers. 4. Write three plain-English talking points I can use to walk my client through the price. Do not invent comp data or prices. I will plug in the real numbers from the MLS. Just build the structure and the talking points.

Skill 3: Meeting follow-ups

In the video: after a client call, the skill reads the transcript, hands me the action list, and writes the follow-up email to the client, all without me pasting anything.

Build it today (prompt): paste a call summary or your notes, and Claude gives you the action list plus a follow-up email. I use Fathom to auto-transcribe my Zoom calls, then paste the transcript in.

Make it a real skill: connect Claude to your call transcripts and your drafts folder, so the recap and the email are waiting for you the moment a call ends.

Call Follow-up Prompt
Here is the summary (or transcript) of a client call: [paste it] Do two things: 1. Pull every follow-up I committed to on this call as a clean checklist, each with who it is for and when it is due if a date was mentioned. 2. Draft a short follow-up email to the client in my voice that recaps what we decided and lists the next steps. End at "Warm regards, [Name]." Only use what is actually in the call. If I committed to something with no date, flag it so I can set one.

Skill 4: Scheduling

In the video: I type one line and the skill creates the calendar event with my Zoom link already in it. I never open Google Calendar.

Build it today (prompt): tell Claude the who and when, and it writes the invite and the confirmation message for you to drop in.

Make it a real skill: connect Claude to your calendar so the event is created automatically with your video link, the moment you ask.

Scheduling Prompt
I need to schedule [a showing / a listing appointment / a call] with [client name] on [day and time]. Write: 1. A calendar invite: clear title, the time, a one-line agenda, and a spot for the location or my video link. 2. A short confirmation message to the client in my voice with the date, time, and what to expect. Keep it simple and warm. If I left out anything you need (address, video link, time zone), ask me before you finalize.

How to Build This

  1. Build the Project once.On claude.ai, create a Project, paste the Step 1 instructions, and fill in the brackets. Every chat inside that Project now works as your assistant.
  2. Start with the prompts.Save the four prompts in a note. When an email lands, a call wraps, or you need to schedule something, paste the matching prompt. You get the win today, no setup.
  3. Automate the ones you use most.Once a prompt earns its keep, that is the one worth turning into a real connected skill. This is the technical step: connecting Claude to your inbox, calendar, or comp data.
  4. Review before you send.Claude drafts. You decide. Read every reply before it goes out, the same way you would check work from a new assistant.
